This document outlines the process for processing an Return Merchandise Authorization (RMA) in the InfiPlex Inventory Management and Order Management System (OMS).
InfiPlex RMA
The RMA system in InfiPlex allows you to easily manage and process merchandise returns. You can manually create a return from the Order detail screen or some marketplaces like Walmart and Jet are tied directly into the Returns system so returns created on those marketplaces will automatically be added to the Returns system in InfiPlex. This allows you to track and process your return in the OMS and send the finalized return to the associated marketplace. Marketplaces that are tied into the InfiPlex Returns system include:
- Walmart
- Manual Returns on any order
Manually Processing a Return
You can manually create a new RMA by going to the order detail screen of any order:
- Select the Quantity to Return
- Generate the RMA Number or type your own number in
- Click the green Create RMA button
This will create a new RMA entry that will now appear within the order detail page for that order or you can view it from the Returns tab at the top of the Order listing area.
Walmart Returns & Other Connected Marketplaces
Marketplaces with connected Return systems will show the marketplace returns on the main Returns list screen. You should also make sure that you have set the appropriate email alert setting in the Settings are so you get an email alert when a marketplace return happens. Each Marketplace will have it's own setting if it is tied into the InfiPlex Returns system.
Standard Return
You can manage the Return by clicking on the Blue RMA number button. When you receive the returned item, you will set the number received and then click the orange Save Amount Received button. For a standard order not tied into a specific Marketplace return process, you will see the two options to finalize the return. The first will allow you to Save the requested return amounts and the second line will allow you to save the actual refund amounts. These will save the record of the return into InfiPlex and you can then add any additional notes to the RMA.
Walmart Return Example
Walmart returns work differently from a standard RMA. With a Walmart return you have the option to click the green Send Full Refund to Walmart button or use the purple Send Partial Refund to Walmart button. Depending on your terms in Walmart, you may need to add a restocking fee and restocking fee reason.
RMA Notes
You can also add notes to an RMA to track your contact with the user and any other information related to the Return. Simply add your Note to the note text area and the click the oragen Save Note button.
